This Privacy Policy explains how EduNexus ("EduNexus", "we", "us"), operated by V & V Associates, collects, uses, and protects information when a school, its staff, students, or parents use the EduNexus platform at edunexuserp.in (the "Platform").

1. Who This Policy Applies To

EduNexus is used by multiple roles within a school, and this policy covers all of them:

• School Administrators & Principals — who set up and manage the school's account
• Teachers & Staff — who use the Platform for attendance, results, and communication
• Parents & Students — who use the Platform to view attendance, fees, results, and notices
• Drivers — who use the transport module for route and stop tracking

2. Information We Collect

2.1 Information schools provide to us

• School details: name, address, board affiliation, logo, contact information
• Staff details: names, roles, contact numbers, login credentials
• Student details: name, date of birth, class, section, admission number, attendance, academic records, photographs (where uploaded)
• Parent/guardian details: name, mobile number, email, relationship to student
• Fee and payment records: amounts due, amounts paid, payment history
• Documents uploaded by the school (circulars, policies, ID proofs, etc.)

2.2 Information collected automatically

• Login activity and session information, for security purposes
• Device and browser information, for compatibility and troubleshooting
• GPS location — only where a feature explicitly requires it (e.g. teacher geofenced attendance, live bus tracking), and only while that feature is in active use

2.3 Payment information

When a parent pays school fees through EduNexus, the payment is processed by our payment partner, Razorpay. EduNexus does not store card numbers, UPI PINs, or net-banking credentials — these are handled directly by Razorpay under its own security standards. EduNexus stores only the payment status, amount, and a transaction reference for record-keeping and receipts.

3. How We Use Information

• To operate the features a school has signed up for (attendance, fees, results, transport, notices, etc.)
• To send fee reminders, attendance alerts, and school notices via SMS/WhatsApp/email, where enabled by the school
• To provide customer support to schools and troubleshoot issues
• To improve the Platform's reliability and features
• To meet legal and regulatory requirements

We do not sell, rent, or trade any school's or student's data to third parties for advertising or marketing purposes.

4. AI Features

EduNexus includes an optional AI Assistant that answers questions using a school's own data (e.g. attendance summaries, fee status). Queries and the data needed to answer them may be processed by our AI provider (Anthropic) to generate a response. Access is role-restricted — for example, a parent's AI Assistant can only answer using that parent's own children's data, never another student's.

5. Data Isolation Between Schools

EduNexus is a multi-tenant platform: many schools use the same software, but each school's data is logically isolated. Staff, parents, and students at one school cannot access another school's records under any normal use of the Platform.

6. Data Sharing

We share information only in these situations:

• With the school itself — a school's own staff can access data relevant to their role within that school
• With service providers who help us run the Platform, such as our payment gateway (Razorpay), cloud hosting (Railway), file storage (Cloudinary), and communication providers (SMS/WhatsApp/email gateways) — each bound to only use data to provide their service to us
• Where required by law — if legally compelled by a court order, government authority, or applicable regulation

7. Data Retention

We retain a school's data for as long as the school's account is active. If a school discontinues its subscription, data is retained for a reasonable period to allow the school to export records, after which it may be deleted or archived, unless a longer retention period is required by law (for example, financial transaction records).

8. Data Security

• Passwords are stored using industry-standard hashing, never in plain text
• Data is transmitted over encrypted (HTTPS) connections
• Access to student and financial data is restricted by role-based permissions
• Payment card data never touches EduNexus servers — it is handled entirely by Razorpay

9. Your Rights

Parents, students, and staff can request access to, correction of, or deletion of their personal information by contacting their school administrator, or by writing to us directly at the email below. Schools, as the data controller for their students' and staff's information, are responsible for approving such requests in line with applicable law.

10. Children's Data

EduNexus is designed to be used by schools on behalf of their students, including minors. We rely on the school (and, where applicable, parental consent obtained by the school) to authorize the collection of a student's information for school-management purposes. We do not use student data for advertising, and access to a student's data is limited to their own school and their own parent/guardian account.

11. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be reflected by updating the "Last updated" date at the top of this page.
